Working with an emerging shared services organization, the Site Manager is responsible for leading the site’s general management activities. It includes leading the Facilities Management and taking on the role as the Chairman of the DBS Crisis Management Team and leads the site’s compliance to Global Data Privacy Regulation local requirements. As the Manager he also will take on the administrative management role for the Finance and Office Administration team responsible for the site’s financial management & reporting, cashflow planning and management, payroll, responsible for complying to statutory requirements of local and national government agencies which is functionally reporting the CFO. He also leads the team who manages the site’s facilities and equipment, manages the IT support, utilities and facilities contractors and all other site management vendor’s and contractors. This role also acts as the Chairman of the Dover Business Service’s Global Crisis Management Team and owns the business continuity plan, the site’s readiness, and its execution of the responses. In addition, the role also is responsible for the site’s compliance to the Global Data Privacy Regulation local requirements. Essential Responsibilities: Site Administration Supervising the day-to-day operations of the administrative department and staff members. Hiring, training, and evaluating employees and taking corrective action when necessary. Developing, reviewing, and improving administrative systems, policies, and procedures. Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained. Working with the accounting and management teams to set budgets, monitor spending, and process payroll and other expenses. Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions. Collecting, organizing, and storing information using computers and filing systems. Overseeing special projects and tracking progress towards company goals. Building and expanding on skills by engaging in educational opportunities. Creating a suitable working environment for DBS Cebu, ensuring facilities are always clean and installing and maintaining adequate communications infrastructure, among other duties. Attend to multiple concerns involving both workers and their working environment, requiring good organizational and multitasking ability. Special projects as assigned. Crisis Management and BCP Leads DBS’s global sites as the Chairman of the Crisis Management Team. Establishes the local Business Continuity Plan and readiness. Identifying potential risks and concerns; and establish early monitoring systems. Assessing the impact of a crisis Preparing and activating an action plan Develop a crisis plan to minimize risks; Implementing standards to prevent the crisis from recurring. Review the response plan, identify what did and did not work, and make any necessary changes. Develops and maintains a business recovery plan and procedure; reviews, revises, and expands existing plans and protocols. Conducts risk assessments for various departments and functions, analyzing potential business impact of unpredictable business interruptions such as natural disasters, security breach, legal claims, and market disruptions. Data Privacy Provide expert advice and educate employees on important data compliance requirements. Draft new and amend existing internal data protection policies, guidelines, and procedures, in consultation with key stakeholders. Deliver training across all business units to staff members who are involved in data handling or processing. Conduct audits to ensure compliance and to address potential issues. Maintain records of all data processing activities of the company Serve as point of contact for data protection authorities. Implementing data protection measures Ensure to submit regulatory requirements. Manage privacy incidents. Qualifications: Bachelor’s degree in Business Administration, Management or related field preferred Minimum ten (5) years’ related experience including: Site management and general office administration experience Crisis management and Business Continuity Financial Reporting Data protection, compliance or related field Exposure in legal, audit or risk management Exceptional leadership and time, task, and resource management skills. Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills. Ability to plan for and keep track of multiple projects and deadlines. Familiarity with budget planning and enforcement, and customer service procedures.
