The Sales Operations and Client Success Manager plays a crucial role in supporting the sales team within the agency. The primary purpose of the sales operation’s role is to optimize the efficiency and effectiveness of the sales team by managing administrative tasks, enabling sales personnel to focus on selling. Sales operations professionals must possess a thorough understanding of the entire sales cycle from start to finish, coupled with excellent communication, control, and writing skills. As a crucial bridge between the sales and delivery teams, they ensure a seamless transition for clients from the initial sale to successful delivery. This pivotal position not only enhances the productivity of the sales department but also plays a key role in ensuring client success, making sales operations an indispensable part of the team. Schedule: Graveyard (EST Time zone) | 8 Hours p/day | 40 Hours p/week Salary in PHP: PHP 450 - 550 per hour Salary in USD: $9 -$11 USD per hour Responsibilities: Sales Support: This role plays a crucial part in bolstering the sales team by aiding in the creation of proposals, presentations, and contracts. Additionally, it involves coordinating schedules for appointments or meetings and maintaining regular follow-ups with clients to ensure smooth sales operations. Data Management and Reporting: In this role, the individual is tasked with overseeing customer records and sales data within CRM systems – and ensuring the BDRs are maintaining their sales records. They track sales opportunities and customer interactions, and are responsible for analyzing sales performance. This role also includes the preparation of detailed reports on sales outcomes for both the sales team and management, facilitating informed decision-making and strategy development Order Processing and Onboarding: This role manages the entire post-sale process, beginning with the accurate entry of sales orders into the system, ensuring contracts are signed, and overseeing that Finance establishes the client's finance account. A designated point of contact for financial transactions guarantees that payments are processed efficiently and without delay. Concurrently, the individual is responsible for facilitating the client's smooth transition to the Delivery Team, emphasizing a seamless handoff and sustained customer success during the crucial initial three months. Customer Service and Monitoring: Post-sale, this role ensures that both new and renewing clients are expedited through to Delivery, guaranteeing their swift and careful onboarding by the assigned Delivery Team. The transition from Sales to Delivery is managed to be smooth and friction-free. As part of their responsibilities, they collaborate closely with the Deputy Chief Strategist to oversee the new client experience and monitor their progress diligently during the first three months, acting as the liaison between the sales team and other departments to enhance overall customer satisfaction. Administrative Tasks: General administrative duties also fall under the sales operations’ responsibilities. These tasks might include managing correspondence, filing documents, handling sales expenses, ensuring the sales tech stack is adequate, and organizing events or meetings. Communication: Effective communication is a key part of a sales operations’ role. They often act as a point of contact between the sales team, other departments, and sometimes clients, ensuring smooth and effective communication flows. Strategic Support in Sales Operations: Although not directly crafting sales strategies, sales operations play a pivotal role by supplying essential data and insights that inform strategic decisions. Additionally, this function aids in the coordination and execution of sales initiatives or campaigns, effectively bridging the gap between data analysis and strategic implementation. Skills/ Traits Analytical Skills: Ability to analyze data and sales metrics to identify trends, forecast performance, and provide actionable insights. Communication Skills: Strong verbal and written communication skills are crucial for coordinating between departments, explaining complex data, and ensuring that all team members are aligned with the sales strategy. Organizational Skills: Proficiency in managing multiple tasks, keeping detailed records, and ensuring that all aspects of sales operations run smoothly. Technical Skills: Familiarity with Customer Relationship Management (CRM) systems, data management tools, and possibly some basic understanding of sales automation technologies. Problem-Solving Skills: Ability to identify problems quickly and develop effective solutions, especially when it comes to streamlining processes and improving efficiency. Attention to Detail: Precision is vital when handling contracts, processing orders, and managing customer data to avoid errors that could impact customer relationships and sales results. Project Management Skills: Capability to oversee projects, from inception to completion, ensuring that initiatives meet deadlines and stay within budget. Interpersonal Skills: Strong interpersonal skills to interact effectively with both the sales team and other departments, facilitating a collaborative environment. Adaptability: The ability to adapt to changing markets and organizational dynamics is crucial, as sales operations must continuously evolve to support the sales team effectively.
