Position Overview: We are seeking a dedicated and organized Personal Assistant to support our day-to-day operations. This role requires a minimum commitment of 20 hours per week and involves a variety of administrative and support tasks. The ideal candidate will be proficient in both English and Spanish, capable of professional email correspondence in English, and skilled in strategic scheduling. Regular weekly check-in meetings and schedule summaries are essential components of this position. Key Responsibilities: Schedule Management: Strategically schedule appointments, meetings, and events. Conduct weekly check-in meetings to review upcoming schedules and priorities. Email a detailed summary of the weekly schedule. Travel Coordination: Use the business credit card to book flights and hotels. Write summaries of client trips, including travel details and key points. Email Correspondence: Handle professional email correspondence in English. Respond to and manage emails promptly and effectively. Meeting Support: Take notes during meetings as needed. Distribute meeting notes and action items to relevant parties. Document Review: Read documents for clarity and grammar (desired but not mandatory). Administrative Tasks: File business paperwork with state and government agencies. Manage billing processes, ensuring timely and accurate follow-through. Send contracts via specialized software, ensuring all steps are completed. Qualifications: Proficiency in both English and Spanish. Professional email correspondence skills in English. Strong organizational and time management skills. Ability to schedule strategically and manage multiple priorities. Experience with booking travel arrangements and managing travel logistics. Basic understanding of billing processes and administrative procedures. Ability to use software for contract management and other administrative tasks. Attention to detail and ability to follow through on tasks. Good to have: Strong grammar and clarity in reviewing documents. Preferred Skills: Previous experience as a personal assistant or in a similar administrative role. Strong communication skills and ability to interact professionally with clients and colleagues. Familiarity with business filing processes with state and government entities. Proficiency with scheduling software and productivity tools.
