Job Title: Property Director Administrative Assistant Job Description: We are seeking a highly organized and efficient Administrative Assistant to support our Property Director. The ideal candidate will be detail-oriented, proactive, and capable of managing multiple tasks simultaneously. This role requires strong communication skills and the ability to handle administrative duties effectively to ensure the smooth operation of our property management activities. Responsibilities: Administrative Support: Provide comprehensive administrative support to the Property Director, including managing calendars, scheduling meetings, and organizing travel arrangements. Prepare and edit correspondence, reports, and presentations. Maintain and organize files, records, and documents, ensuring accuracy and confidentiality. Management Tasks: Assist with the coordination and management of property maintenance and repair schedules. Track and monitor project timelines and budgets, providing regular updates to the Property Director. Coordinate with property managers and other staff to ensure timely completion of property management tasks. Filing and Documentation: Maintain an organized filing system for both digital and physical documents, including contracts, leases, and property records. Ensure all documentation is up-to-date, properly filed, and easily accessible. Assist with the preparation and filing of regulatory and compliance documents as required. Communication: Handle incoming calls and emails, responding to inquiries and redirecting as necessary. Schedule and confirm appointments, meetings, and property inspections. Prepare meeting agendas, take minutes, and distribute them to relevant parties. Customer Service: Serve as a point of contact for tenants and vendors, addressing concerns and resolving issues promptly. Assist with tenant communication, including lease renewals, notices, and other correspondence. Ensure excellent customer service by maintaining a professional and friendly demeanor. Data Management: Enter and update property management data in relevant software systems. Generate reports and summaries for the Property Director to assist in decision-making. Monitor and report on property performance metrics and other key indicators. Miscellaneous Tasks: Assist with the coordination of property events and activities. Manage office supplies and equipment, ensuring availability and functionality. Perform other administrative duties as assigned by the Property Director. Requirements: Proven experience as an Administrative Assistant or in a similar role. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with property management software is a plus. High attention to detail and accuracy. Ability to handle confidential information with discretion. Strong customer service skills.
