Job Title: Virtual Assistant (Sales and Marketing) Client Industry: Mobile Optometry Service Location: Philippines, Eastwood, Quezon City (3x onsite, 2x WFH) Shift and Schedule: Monday through Friday 08.00 - 17.00 PHT1 hour of lunch break 12.00-13.00 PHT Position Overview RecruitGo is searching for a Virtual Assistant (Sales and Marketing) who will be working with our client based in Australia. Our client, A Mobile Optometry Service which caters to homebound individuals and residents of Aged Care Facilities is looking for a Virtual Assistant.Aside from your established skills and expertise, we are also looking for someone who can support their clients or employers in various administrative, operational, and organizational tasks, contributing to increased efficiency and productivity. Responsibilities: Prior to the Eye Clinic start date contact all patients, or their Families to ensure completion of the Vision Test Consent and follow-up Organize and confirm appointments by ensuring to email and/or call all Aged Care Facilities or clients before the Eye Clinic appointments Responsible for the effective coordination, creation, and scheduling of Eye clinics and ensuring Resident lists are up to date prior to the Eye Clinic date. Ensure all reports are emailed to patients, Aged care facilities, and also family if required Create an Email order or invoice to the responsible payee, follow up for payment where necessary Ensure to contact the client, or their family member via phone or email to inform them of the prescription recommendations and ensure their consent before raising the job order for new spectacles. Create and distribute our monthly Newsletter Assist with finance and accounts coordinator function carrying out simple bookkeeping tasks and entering in Xero Contact potential Aged Care Facilities and Schools to offer and organize eye clinics, and ensure an appropriate follow-up occurs within the agreed timeframes. Liaise with the Optometrist and provide any assistance requested before and during the eye clinic Provide high-level client and potential client support through answering of phones, general emails and inquiries and provision of virtual “reception” duties. Client management including booking Eye Clinics and meetings and managing expectations. Ensure the required paperwork for each clinic is completed and assist in the creation of client contracts and ensure all documents are saved and information is correctly entered in to Zendesk Management of file system to ensure all client folders are appropriately filed and moved as needed. Complete sales and marketing activity ensuring the content and reach are relevant for our target customer Ensure all customer information, queries, and contacts are up to date and entered into Zendesk. Any ad-hoc tasks, activities, or responsibilities which may be assigned by management Qualifications Previous experience with Administration, Sales and Marketing Proficient English writing and communication skills Competent user of all Microsoft packages Previous customer service experience Why RecruitGo?
